WEST END SOCCER ASSOCIATION
The volunteers who fill the roles and responsibilities described below work behind the scenes to keep the West End Soccer Association alive. Typically they have moved from coaching to running the organization, often while continuting to coach. When their children graduate from West End, they often move on to other positions of civic responsibility, like Ewing Mayor and Councilman Bert Steinmann did, so the Association continually needs new volunteers to step up. EXECUTIVE BOARD POSITIONS AND DUTIES (Elected)
President – schedule and convene meetings, oversee recreation and travel divisions, appoint members at large as needed, conduit for information from state office, leagues, township, maintain files, communicate with board members to stay abreast of happenings, signatory on checking account(s).
Vice President – fill in for President as needed.
Treasurer – handle all monies, grants, bank accounts and accompanying paperwork and statements, accounts payable and receivable, signatory on checking account(s), financial reporting.
Sergeant At Arms – notify all members of upcoming meetings, maintain order throughout meetings.
Secretary – record and distribute minutes of all meetings to members, handle all correspondence for association, type and distribute board member roster and yearly calendar, possess keys to post office box, pick up and distribute all mail.
BOARD MEMBERS AT LARGE (Appointed)
These areas of responsibility are sometimes distributed among Executive Board members. Typically for those with specific responsibilities, expectations for attending meetings are less, and tasks are distributed to specific times of the year.
Player Agent – organize online registration, receive registrations, maintain database of all players and coaches, organize drafts of all divisions, manage player placement.
Commissioners – recruit coaches and managers for teams within each age Division, conduit for information between board and coaches, keep accurate records of players and coaches, schedule games, keep statistics such as standings, etc., coordinate all-star games.
Referees – schedule referees for games, provide on-the-field training for youth referees, maintain records.
Special Projects – banquets, parade, pictures, coaches’ games.
Scholarship – design and mail scholarship applications, receive completed applications, choose review committee, convene meeting, facilitate award of money.
Sponsors – design and mail out sponsor request letters, follow up as needed, determine with Player Agent how many sponsors are needed, obtain sponsors, and communicate to commissioners and Uniform person.
Equipment/Uniforms – compile a list of vendors for uniform bids and communicate with secretary for bid letter mailings, communicate with sponsor chair for uniform ordering, contact vendor for uniform ordering, hand out and collect equipment issued to coaches, order new equipment as needed, keep records of inventory.
Publicity – interface with website designer, obtain information for website, report recreational scores to website, handle publicity of events and scores if needed.
Training Coordinator – research training and camps, report to board, schedule and advertise WESA-sponsored camp(s), coordinate training as requested.
Travel Coordinator – Liaison between Travel Division and Executive Board. Organize fall carding of competitive teams and League Registration. Coordinate Spring Travel Team try-outs. Meet regularly with travel team coaches and managers. Attend Travel League meetings. Schedule fields for games and practice.
Web Master – Keep Web Site updated. Coordinate with commissioners for standings, game scores and practice and game schedules. Update Calendar for meetings and special events, scholarships.
BOARD COMMITMENT
LENGTH OF COMMITMENT:
One year, from March until February. Time Commitment for At Large Board Positions varies by responsibility.
APPROXIMATE MEETING COMMITMENT:
Executive Board: Second Wednesday of each Month (Approximately 2 hours)
General Membership Meetings: August through November (Executive Board, Members At Large, Coaches, and Managers)
SKILLS NEEDED:
Full commitment to assigned tasks.
Ability to follow through on tasks.
Ability to attend meetings as stated above.
Ability to think clearly and fairly.
Ability to make decisions impersonally when required.
Ability to be discreet and keep information confidential, as needed.
Familiarity of Constitution and By-Laws.
Knowledge of WESA’s Playing Rules.
Willingness to assist with other tasks as requested.
